AWG Activities & Cancellation Policy as of January 1, 2025
In order to offer our members exciting tours and events, our AWG Activity Team has special participation and cancellation arrangements with our guides. The following information is the AWG Activities and Cancellation Policy, effective January 1, 2025, approved by the AWG Governing Board.
Note: This Policy does not apply to Membership Meetings. It is common courtesy to cancel your Membership Meeting registration by emailing MembershipVP@awgparis.org if you learn you cannot attend.
A. Activities Participation Policy:
Adults Only:Unless otherwise specified, all activities and trips are organized for members aged 18 and older.
Guest Policy:Guests may attend only when specified in the activity description. Guests do not have an automatic right to participate in AWG events, and AWG reserves the right to refuse any guest entry to an activity at its discretion, without explanation. Eligible guests are encouraged to consider becoming members. Registration Process:Registrations are handled on a first come, first served basis. If an event reaches full capacity, registrants will be placed on a waitlist. AWG will contact waitlisted members if a spot opens, either by offering the spot to those first registered on the waitlist or, in some cases, offering it to the first three to reply. All registrations and waitlist sign-ups must be managed through the Activities software. Finalizing Registration:Registration is only considered complete once AWG has received both payment and a completed activity registration. You can register and make payments online at www.awgparis.org or through the AWG Wild Apricot app.
B. Cancellation Policy:
We understand that unexpected events can happen, and plans may need to be altered. Our Activities Volunteers put in significant effort to ensure that event registrations are accurate, allowing for smooth coordination and ensuring that those registered are not left waiting for a member who is unable to attend.
To help us maintain this efficiency, we kindly ask that you follow the procedures outlined below if you need to cancel your registration:
C. Replacement Policy and Waiting List Management
In the event of a cancellation before the cut-off date, AWG will automatically invite the next person on the waiting list on a first registered, first invited basis.
In the event of a cancellation after the cut-off date, AWG will personally invite the next person(s) on the waiting list on a first registered, first invited basis.
We understand that unexpected events can happen, and plans may need to be altered. If your plans change and you are no longer able to attend while you are still on the waiting list, we kindly ask you to log in and cancel your registration from the waitlist so that another member can attend.
